Discovery Call

We start with a structured qualification call — no sales pitch, just an honest assessment of whether your project is fundable and which programs apply. If we can't help you, we tell you straight and explain why. Most founders know within 20 minutes whether they have a real shot.

Follow-up Call

A senior advisor discusses your project with you — which programs might fit (FFG, WAW, aws, regional), what to expect, and answers your questions. We don't build the full strategy here; that happens in the Kickoff once we have the complete picture. This call is about advisory and alignment.

What we cover:

  • Overview of funding programs that may fit your project
  • Zero-net-cost model explained: onboarding fee refunded, success fee only when you receive money
  • Realistic expectations and next steps
  • Questions answered — if you're ready, we move.

Onboarding

Minutes, not days

Once you sign digitally — we don't use paper. Our systems take over. Deep API integrations fire automatically — no back-and-forth, no waiting for someone to send you a link.

Pre-Kickoff

Before the deep dive, we set you up for success. Merve introduces your project team, walks you through the Kickoff format, and tells you exactly what to prepare. No surprises — just clarity.

  • What the Kickoff will cover and how to get the most out of it
  • Exactly which documents to prepare: team CVs, Letters of Intent, Finanzierungsnachweis, project scope

Kickoff: Deep Technical Dive

60–90 min · With Johannes and Konstantin · Recorded + transcribed

This is where strategy meets execution. Johannes and Konstantin lead a structured deep-dive into your technology, your innovation, and your technical challenges. We don't just extract information — we actively work with you to sharpen your project. We identify which aspects are most fundable, how to frame your innovation for specific evaluators, and where the technical risk narrative needs to be strengthened.

What we cover:

  • Identify the exact grants that fit your project and confirm the submission strategy
  • Help you articulate your innovation and technical risk in the language evaluators reward
  • Define work packages, milestones, and goals
  • Map your team's competencies to program requirements
  • Clarify everything before writing starts — no open questions carry into the draft

Application Writing

First project draft: ~3 days · Full application draft: ~2 weeks

We write the complete application. You don't write a single word unless you want to. Every section is calibrated to the exact evaluation criteria of your target program — language, structure, depth, and emphasis matched to what the evaluators actually look for.

What we cover:

  • Full project description (Projektbeschreibung)
  • State of the art and prior art analysis (Stand der Technik)
  • Work packages and milestones (Arbeitspakete)
  • Technical risk analysis (Entwicklungsrisiken)
  • Innovation narrative — the story evaluators want to read
  • Complete cost calculation (Kostenplan)

Client input needed: Letters of Intent, Finanzierungsnachweis, team CVs, company data. We tell you exactly what to send and when — on WhatsApp. Every draft goes through internal quality review before you ever see it.

Review, Approve & Submit

Automated approval flows · qubitec submits

You review the draft in real time via Google Docs — comment, suggest, question. We schedule a review call to walk through the application together and collect structured feedback. After revisions, our automated Freigabe process kicks in: a structured sign-off flow that ensures every section is explicitly approved before submission. Nothing reaches the funding agency without your confirmation — and nothing gets delayed because someone forgot to check their inbox. Once approved: internal QA checklist, upload to the funding platform, submit.

After submission:

  • Submission confirmation on WhatsApp — immediately
  • If approved: reporting and Abrechnung support included
  • If rejected: 1 resubmission included — we analyze evaluator feedback and revise
